Communication Process

Managerial Communication Process is somehow more technical and specific but it is better to discuss communication process before we move to the managerial communication process. 

Communication is popularly defined as the process of exchange message, information, opinion and feelings. It is true that there are elements which function in a chain and order that is called the process. 

The elements such as sender, message and receiver etc. the elements of communication process.

Communication Process


The entire process of business communication is displayed as in the following way with brief description.

a. sender


b. Message

c. Encoding

d. channel

e. receiver

f. decoding

g. feedback

h. noise/ brain drain

All these elements are proceed in the specific pattern and the order as mentioned.

a. Sender

The first and most important element of communication is sender. Sender has the message to communicate or exchange to the receiver. If the sender is not psychologically ready for the message then the entire communication fails.

b. Message

Message is the content, idea and feeling that is transferred from sender to the receiver. The message to be transferred should be simple, clear, complete, and relevant and based on the need, interest and ability of the receiver.

c. Encoding

Encoding refers to the technical process without which communication is not possible. During communication process, the speakers changes the message into understandable code that is technically called encoding. Encoding can be in words and sentences as well as sign and symbols. For example. The speaker wants to share the four footed domestic pet which is kept for safeguard. It is the message which we simply encode into the word as 'DOG'. This means there is no direct relation between the message and the word because the word is the encoded form of the message. This is also simply understood as the same message is encoded into different words based on the different languages.

Kutta (Hindi)

Hund (German)

Gou (Chinese)

Koaka (Russian)

All thsese things indicate that every message should be encoded into proper understandable unit. Furthermore, the encoded can be into nonverbal also. For example body expression, facial expression or picture and image etc also.

Another beautiful example of encoding is if you really appreciate and live together with somebody or marry someone, this is the message it can be encoded into the word love or red rose.

d. Channel

Channel refers to the path/medium through which the message passes to the receiver from the speaker. The various medium such as internet, telephone, TV etc are the common channel to transfer the message. If the speaker directly approach the listener then that is called the face to face channel where we don’t need any extra channel or medium to communicate. Channel plays very important role in communication process because all the medium and channel or path are not equally appropriate for all kind of exchange. So, it is the sender's responsibility to choose the appropriate channel for effective communication.

e. Receiver

Receiver receives the message. Every communication without receiver is incomplete. The sender sends the message to the receiver. Receiver can be listener, audience, reader and in other forms as well. If the receiver is unable to understand the message or s/he is not ready to receive the message because of any psychological or physical disturbance.

f. Decoding

Decoding is the opposite of the encoding process. The listener decode the encoded message into understandable unit of word/symbol/image. The decoding should be as per the encoding of the sender otherwise there is misunderstanding between the sender and receiver.

For example

In many societies of Indian and Nepal while the boy goes to a girl and says I Love You, the girls in response hit by the sandal or spit at the face of the boy. This is very much interesting to understand why such type accident happens. I love you does not mean something bad for the boy but is the conspiracy, deception and a loot to the girl. The sentence I love you is worse than I kill you in some context where the listener the girl misunderstand the boy.

g. Feedback

Feedback is possible after the proper decoding of the message. This is the completion or end of the communication process. The response to the speaker from listener is feedback. Traditionally, feedback was not much highlighted because the job of sender or speaker was just to send the message not to whether to get the feedback from the receiver. Feedback helps sender to check whether the entire communication process is successfully handled or not.

h. Brain drain

During the communication process, the noise and disturbance also hampers the entire communication which is technically called brain drain. The physical noise or disturbance as well as psychological disturbance such as tiredness, not interested and many others can be categorized under brain drain.

What is managerial communication?

Managerial Communication (business communication) is also guided by this fundamental process of communication as discussed above.

Managerial communication empowers the users to exchange information and feedbacks within the organization and enables them to pursue the organizational goals.

The managerial communication process is handled as per the type of managerial communication. More specifically, in any business organization, the process of communication is either interpersonal or organization.

Interpersonal communication is simply done in an organization in one by one but organizational communication is to the departments, team and group of people of different level and positions to achieve the collective goals of organizations.

Normally, the process is different in terms of its types such as formal and informal communication

There are two ways from such as top to bottom and bottom to top process of communication under formal way of communication.

In case of informal communication, there is also the network for example the setting is informal but the people communicate for the official purposes. It may at Canteen, Cinema Hall, Birthday Party and many other social and ritual events.
